The Library's local automated system is NOTIS. (The acronym stands for Northwestern Online Totally Integrated System.) Check the NOTIS Users Guide or ask Cataloging Librarian if there are questions in searching or editing NOTIS records. Consult the OCLC MARC format manual or the Online bibiliographic formats and standards manual for the correct tags, indicators and subfield codes needed to edit bibliographic or authority records in NOTIS or OCLC. Search by title, author, NOTIS number or OCLC number to retrieve corresponding NOTIS record. Compare the item being cataloged with the NOTIS record. Decide whether the item should be cataloged as serial or monograph. If LC catalogs it as serial, we follow LC practice. Some words on title (i.e., yearbook or ; annual, and sometimes directory) or from preliminaries may be helpful to determine whether it is going to be published continuously or not. Catalog PLI, ALI-ABA and Florida Bar course materials as serials if the library has 5 consecutive editions with no change in the title proper. Previous eds. once cataloged as monograph will need to be recataloged. Check title proper, publication and physical description area between the book and the NOTIS record. Search OCLC if corresponding NOTIS record doesn't match the book, or a different decision on cataloging the item as serial or monograph has been made. Print the OCLC record if a better record is found and give the item with p.o. to the Senior LTA or graduate assistant who is responsible for merging records. Otherwise, consult Cataloging Librarian or put the item on the OCLC record shelf. Before cataloging the item, check whether there is any previous edition (PED) or later edition ( LED) which has already been cataloged or is in process. Catalog other ed(s). from the backlog at the same time except microfiche ed(s).
See Appendix 2 for guidelines on editing "FSLL." Always check with Ref. Librarian, Acq. Librarian or Cataloging Librarian when there are questions on whether the item should go to reference, "office" collection, etc. Location of previous ed(s). also helps to decide whether the book goes to regular shelf or not. (Note that if a serial goes to Reference, we give the location as "law", but add a user message, um=LATEST EDITION IN REFERENCE.) American publications published before 1850 and British publications published before 1800 go to SpC collection. Check with Cataloging Librarian if unsure. We put one or all copies of FSU College of Law, its subordinate institutions, or its faculty and staff's publications in "Archives" collection. Add a "local" note on the bibliographic record indicating that a specific chapter was written by our faculty member, and make an added entry under his/her name.
For U.S. government documents, check the GPO Item number which is penciled at the bottom right cover of the volume. This number (e.g., 516-C) should also be input in the 074 field on the NOTIS bibl record; our Serials/Documents librarian finds this helpful, because it is an indexed field.
Delete some types of uniform title (tag 240) fields. See Forms of Entry for details.
Place of publication (tag 260): do not include street, city/state and zip code of publisher which LC sometimes shows in parentheses.
In 300 field, if book is described as "loose-leaf", we use LC's Cataloging Rules for the Description of Looseleaf Publications, written by Adele Hallam, for guidance on handling changes in title, authors, edition statements, # of volumes, etc. Note that these special cataloging rules apply only to works that are looseleaf-for-updating, which does not include many government documents and most continuing education titles issued as loose pages or in ring binders. Check with the Cataloging Librarian if unsure. Information for "accompanying computer disk" needs to be entered in subfield "e" of 300 tag. Example; 300:: 22 p. ; |c 28 cm. + |e 1 computer disk (3 1/2 in.)
Series statements (tag 440 or 490): do not include International Standard Serial Numbers (ISSNs) in this field. If the book is a reprint edition and the series title appeared in the original edition, then do not record the series in a 4xx field. Record it in the "reprint" note, e.g., 500::Reprint. Originally published: New Haven, Conn. : Yale University Press, 1942 (Powell lectures on philosophy at Indiana University ; 6th ser.) and make an 830-tagged added entry for series title, as appropriate.
Add a 538 system details note when there is an accompanying computer disk with book. This note explains what is required to run program. Example: 538:: System requirements: IBM compatible disk; 3 1/2 inch floppy disk; Word 6.0.
Add notes to the bibliographic record such as "Kept up-to-date by pocket parts" or "Kept up-to-date by cumulative supplements" only if it is known that the publisher is likely to issue such pocket parts, replacement volumes or supplements. Look for this information in the book's preface, or check to see if PEDs were so updated. (Do not base your decision solely on the fact that the inside back cover has a slit for pocket parts.) The tag to use for this note is 525.
For the bibliographic record of special subject "pamphlets" which are issued as part of some looseleaf service subscriptions, use note area (not the series statement) to record their relationship, e.g. 500:: Issued as "Extra edition issue" no. 409 of: Labor law reports, employment practices, no. 422 (Aug. 5, 1991). Also don't make an added entry for those looseleaf titles.
Add citation title for new law reviews, reporters, state statutes, admin.codes, if appropriate. Use the 246 field for the added entry and to generate a note. For example:246:1 : $i Cited as: Emory L.J. and or 246:1 :$i Cited as: Tenn. Code Ann.
Add 504-tagged note "Includes bibliographical references" or "Includes bibliographical references and index," as appropriate. Include the specific page numbers in parentheses if the bibliography or footnotes appear in a single sequence of pages. NOTE: Citations to statute law or to legal case reports are not considered to be bibliographical references; look instead for references to treatises and/or to periodical articles.
Contents notes. For multivolume, monographic sets where each volume has a distinctive title, always add a 505-tagged note listing the individual titles. (Use judgment, however; the volume titles for a 3-v. index might be A-G, H-Q, R-Z, and those kind of contents are hardly useful information!) For single volume works consisting of a collection of essays/articles by different authors, if the LC or OCLC copy has a 505 Contents note listing every chapter and author, keep the note. However, if such a note is lacking, do not add one.
Add special notes relevant only to the Law Library in fields with a 590 tag. For example: Library's copy is autographed presentation copy. Includes a chapter, Water regulations and policies, co- authored by Donna R. Christie. Library's copy defective: lacks p. 17-18.
Another type of local note is needed when two or more works that were originally published separately (i.e., each has a separate title page, often with different publisher and publication year) had been bound together by a previous owner of the works. In this case, the book is classified according to the subject of the first title in it, but each title is cataloged on a separate record, and all of these records should have a 590 note naming the other works with which it is bound, e.g., Bound with: A General precedent for wills / G. Worthington ; Two discourses delivered at the Middle Temple Hall / George Long ; On legislative expression / George Coode.
Read AACR2 and LCRI ch. 21 for rules regarding the choice of main and added entries. Cataloging Legal Literature also has a chapter giving clarification and more examples in applying AACR2 for cataloging legal materials.
Use 856 tag for materials which have a World Wide Web, Internet addresses. For further information and explanation, see the Catalog Librarian.
Use CLARR to check for the presence of authority records in LTFL that correspond to the headings on your record. If no authority record is found, search LTLC or OCLC, then derive or export. Use only LC authority record established based on AACR2 or its compatible (Rules: a or Rules: d in the fixed field). Check heading use codes ("a" "b" "c") and update them if needed, according to the following values

If a series authority record was input to the local file by Strozier Library, check the 645 fields to be sure that the Law Library tracing decision is present; if not, edit the record by adding the appropriate 645 field. If we don't have this authority record in local file, derive the LC authority record into our local authority file following the procedure detailed in Appendix 6. Sometimes, LC makes duplicate records for same author.
If no LC authority record has been established, search the NOTIS bibliographic records to see what form has been used. Consult AACR2 chs. 22-26. Make a photocopy of title page plus any other pages giving information on the personal or corporate name and give to Catalog Librarian for NACO work. On the photocopy of title page please highlight (names- personal or corporate, or both), write OCLC# on title page photocopy and the heading use codes. You should always create an original LCSH if there is no LC authority record because our tracing decision needs to be recorded. Use the online "original" authority work form to record information for the new authority record. If an original authority record has been made and a LC authority record is found later, add the LC 010 field to the "original" record, then export the LC record from OCLC, and execute oni transfer using a "merg" setting. If there are existing records in NOTIS which have an incorrect name or series entry, these will need to be revised. Apply these guidelines:
Make notes for "Strozier corrections" if there are "FS" bibliographic records that have form of name/series in incorrect form.
Uniform title: assign uniform title (240 field) for classical works and statutes, legal codes, constitutions, etc. in accordance with AACR2 and LCRI ch. 25. Do not use uniform titles for modern treatises that are translations or were previously published under a slightly different title.
Determine the principal subject(s) of the book. To do this, check the book's table of contents and read the publisher's blurb on the dust jacket, if there is one. It may be necessary to also scan through the preface or introduction, looking for the author's or editor's own description of the scope of the book. If still in doubt as to the major topic of the book, ask the Cataloging Librarian for assistance. Use Library of Congress Subject Headings (LCSH) only. Delete all non- LC subject headings (just keep those at 6xx with 2nd indicator "0"). Consult LC's Subject Cataloging Manual for application of LCSH. Always check the subject headings of PED or LED. We usually assign same subject heading(s) to all eds.unless there are extensive changes in the scope of content among eds. Sometimes PED's or LED's subject heading(s) needed to be updated. Check LCSH through OCLC online authority record file or the NOTIS "LTLC" database to verify form of subject heading(s). Derive the subject authority record from the LTLC to the LTFL database (see Appendix 6), if it is not already present in the local file Revise subject headings on existing FL bibliographic records, if necessary. (Apply the same guidelines as given above for corrections to name/series forms.) - Make notes for "Strozier corrections," if necessary.
Assign LC class numbers to book collection. Always consult LC class schedules. Local practice exceptions are:
Assign Cutter number based on the online Cutter notation table. Always search local file by class number to check whether the chosen Cutter number has been assigned before, in order to avoid different books with same call number, and also to maintain alphabetical order among the main entries for books in the same class number.
EXCEPTION: If the main entry begins with numbers or a year (e.g., "1991 Environmental liability laws), assign the Cutter number based on the first alphabetic word that follows the number/year.
Always check PED or LED's call number. We give same call number to all eds. unless there are extensive changes of content among them. Assign same cutter number for revised/new ed(s). even when the main entry has changed. Sometimes, PED or LED may need to be reclassed if a better classification (as opposed to Cutter) number is found. Print holding record of book(s) that need to be reclassed and put p.o. in the "Reclass/Recat" file. For serials which change their title, the new title uses the same call number as the old title if the vol. numbering is continuous. However, if the volumes start over at v.1, then the new title should be classified/cuttered with its own separate number, depending on the subject and main entry. Exception: if the title-change-with-continuous-voluming is in the JRNL collection, we change the Cutter-Sanborn number on the old volumes and on the NOTIS screens, to match the main entry of the new title. New or changed JRNL titles and their holdings must be added to the master copy of the List of Journals kept in the Cataloging Librarian's office. Reprints: In the call number, use year of original ed., with lower case "a" e.g. 1878a. If NOTIS records with obsolete class numbers are found, put p.o. of the call number list with possible new call number in "Reclass/Recat" file. Journals and non-print materials are not classified using the LC scheme. Instead, "in-house"notation codes are assigned as follows. (Note: these are transcribed in NOTIS bibl records with an 099 tag, for "other (local) call number schemes.For the class type codes used with these call numbers on NOTIS holding screens, see Appendix 3.)
Copy Holdings Record
Update the catalog status code (if the book being cataloged doesn't need to be checked by other catalogers), by changing the code from "a" to "h". Edit the copy status code for each CCN line (copy), according to the code values shown in Appendix 3. See Appendix 2 for sublocation code if the materials is/are not located at general collection. Delete unwanted notes from the HLDG screen after cataloging (e.g., PED; notify notes), but keep any information regarding "gift" or complimentary acquisitions. Add user messages if needed, e.g., um=LATEST EDITION ON RESERVE. For periodicals designated for the JRNL collection, add "ci:rsv" to the NOTES line; this will generate the message "Current issues on reserve" in the LUIS display.
Create volume holdings record for monographic sets that are known to be multivolume, even if the Library has only received one volume. Follow these steps:
For serials, make a p.o. and note what bound vols. we have; give this to the Serials/Documents Librarian.
Other Required Updates
Keep statistics of all material being cataloged. There are two different kinds of statistic sheets, one for printed materials, and one for non-print materials. Give these monthly statistics sheets to the Cataloging Librarian at the end of each month. See Appendix 4 for samples of these two forms.
Be careful to distinguish between added copies and added volumes. For example, if you are cataloging two complete copies of a three-volume set, this is counted as 1 title, 1 added copy, and 4 added volumes. When in doubt, ask the Cataloging Librarian.
Some computer titles, particularly CD-ROM or Video disks, may include installation software in addition to the program or file disks. Do not count installation software disks in the piece count.
Pencil call number on the last page of a monograph and bound vol. of a serial except those going to SpC collection. If item record won't be created for that physical vol. (i.e. individual issue of periodicals before bound, supplements to be replaced later) put call # in the upper right corner of the cover. If writing directly on the printed materials is not possible, stick a white label and write the call number on it. See Appendix 2 for adding the location code above the call # if the item is not housed in general collection. If a dust jacket comes with a book, throw away after cataloging, with the exception of jackets that have some artistic value. If in doubt about artistic value, ask the library director. Also keep jackets that are going to Archives or Special Collections (place call numbers on white label, place at bottom right corner of jacket).
If the item is not sturdy enough (i.e. brochure, pamphlet, etc.) or is loose papers, put a note on the item to instruct student assistants processing it to use an ACCO binder, Pam binder, 3-ring binder, or Pam box. An alternative is to send it to bindery, especially if the cover is badly damaged, and certain government documents received in unbound form. Give those items to Serials Librarian for "one-time-bind."
Non-print materials: Always give clear instructions to student assistant who is responsible for processing. Ask Cataloging Librarian if unsure.
Put the printed materials, except rush/notify materials, at new-books-to-be-processed shelves after fully cataloged. Give books to be housed in SpC collection directly to the Senior LTA who is responsible for processing. For multi-volume materials, if there are more than three volumes, put volumes other than the v.1 on the added volumes shelves; if there are only two or three volumes, place them all together on the new books shelves. "Rush" and "notify" materials should be placed on the Processing table after cataloging
These materials have a high priority in the cataloging workflow. The form for "Rush" materials is pink in color. Slips used for notify request are "yellow".

All Notify materials (notify a specific professor or office copy for professor; notify reserve; ref) goes on processing table after cataloging.
The following instructions apply for adding copies 2, 3 or higher in NOTIS.
(NOTE: There are additional instructions for added copies which are replacements or reinstatements for items that had been previously been lost or withdrawn.)
Unlinked Items NOTE: Occasionally an assistant from the Circulation area may ask us to "withdraw" from LUIS an unlinked item record. Most often these were created for a "professor's copy" of a book needed for reserve. If the item is truly not linked to any NOTIS record, then the item record may be deleted, rather than withdrawn, and no other editing is required.
Title and edition are checked for accuracy against the NOTIS record. Add a note in the form "replaced mo/day/yr" to the holding screen's note field. The call number should be written in the back of the book and the book should be put on the added volume shelf or processing table for processing by the student assistant.
TITLES:
If the title being replaced had been withdrawn, change cataloging STATUS code to "h", change the class type code from "Z" to "L" (or the appropriate code), but leave the earlier withdrawal information in the HLDG screen NOTE area. Example:
Display the BIBL screen, and change the D/S value in the fixed field from "S" to "D". (This will assure that the record is indexed and displayable again in LUIS, the public catalog.)
Retrieve the corresponding record in OCLC, and add our Library's holding symbol to the record by entering "u", then send keying, F10. Count statistics as though this were a new book(s) being cataloged, but do not execute the "tape" command in NOTIS.
(If, however, the book is being replaced even before it was ever withdrawn, then only the "replaced [date]" information is needed. No revision is needed to class type codes or D/S fixed field values; no OCLC updating and no statistics are counted.)
The item record for the withdrawn volume can remain in the record,coded "w" for withdrawn, while the replacement volume gets a new, active item. Exception: If it is a single-volume monograph there cannot be two items linked to one CCN line (this prevents the circulation status from displaying in LUIS); in that case, either delete the old item record, or overlay it with the new item ID.
Replacement copies need the same editing as shown in the example above, except that no revision is needed to the BIBL screen fixed field values, and an update of the OCLC record is not required. If the copy being replaced had been withdrawn, then record the new statistic(s) as "added copies." (If, however, the copy is replaced prior to the withdrawal of the missing copy, then no statistic(s) are counted. These often have a note attached:,"Replacement for missing vol. (or copy)".) Remember.that the item record for the missing item, coded as withdrawn, can remain linked to the copy only if it is a multivolume set or serial.)

COPIES
For books that need to have a location changed (for example, from "Law" to OFF, the change must be made in three places: the BIBL record, the HLDG record, and the book itself. After making the correction inside the book, cross out the existing spine label call number, and place the book on shelf labelled "Relabel."
Exception: If the instruction is to "Remove book from REF," make all the changes indicated above only if it is a monograph record. If it is instead a serial, then only the book label needs revision; in that case, make sure that the NOTE line of the HLDG record includes the note, "um=Latest edition in Reference."
Typographical errors or discrepancies in forms of names or subject headings may be found on some older BIBL records already existing in our NOTIS database. These are usually identified in one of two ways:
For category 2 corrections, most often the cataloging staff who discovered the problem will make the needed corrections, especially if there are five or fewer entries to be corrected. In other instances (including all of the corrections suggested by Strozier Library), we will keep printouts showing what corrections are needed, and work on these in batch mode, usually about once a month. These printouts are placed in the "Catalog Maintenance" folder at the LTA's desk.
Exception: Congressional Information Service (CIS) microfiche, classed at Mif 6, have NOTIS records that do not represent our Library's cataloging. Place printouts in the file labelled "LM Corrections Needed." These are to be corrected in batch mode, as time allows. Note that in order to edit these records you must switch from the "LTFL" to the "LTLM" transaction code.

Process record merging at least once a month.
Always make sure OCLC number on the record to be overlayed is identical to OCLC number on the new record. For provisional record, always add field 909 OCLC number. Note that leading zeros must be added, if needed, to make the OCLC number eight digits long, e.g., 909::(OCoLC)09386722. See Appendix 5 for procedures of ONI transfer.
There are two different ways for reporting corrections needed on OCLC records, one for bibliographic record corrections and another for reporting duplicate record. See Cataloging dept. webpage. Consult the Bibliographic Formats and Standards (sections 5.7-5.8) for guidelines on reporting corrections and additions to OCLC bibliographic records. (Note that if the bibliographic record is on a BOOKS format, and our Library owns the corresponding book, we may be able to correct the OCLC record directly. (See the section below, on "Enhance" functions.) It should be noted that we can now alert LC of bibliographic record(s) that need to be corrected by emailing CPSO (Cataloging Policy and Support Office). This can be done by explaining the problem in the body of the email. Next, copy and paste portion of the record, particularly the lines where problem(s) are located. You can copy from 010 tag, to 245 and the line that needs to be corrected. Then paste into email.
The FSU Law Library is one of a few law libraries which has qualified for the authorization to make corrections to master OCLC monograph records. Refer to Appendix 7 for guidelines on when the Library should and should not execute an "enhance" operations. Call up the record to be enhanced. Lock the record by typing "LOCK" and press F10 or F11. Edit the record. Save the record. Record the save file number on OCLC p.o. Give book and p.o. to Cataloging Librarian for final checking before the "replace" command is given.
On a regular basis, the errors and discrepancies which we have noted on Strozier bibliographic records should be input and sent to Strozier via a special record in the LTTF online file. To pull up the correct screen, remove the "ltfl" from the top of the screen and replace it with "ltem" and then type "fi jt strozier" (or "fi aaa0835"); hit ENTER. Here's what the screen looks like:

Add today's date and type in the text of the incorrect (old) heading and of the corrected (new) heading, along with the NOTIS record number(s) for the entries that require the correction.
Staff at Strozier Library will regularly retrieve this record, and, once they have made a printout from which to initiate their verifications and corrections, they will delete the texts from the fields, but will leave the labels (Old Heading, New Heading, NOTIS keys) in place, ready for the next communication.

"DERIVE" Method for Transferring Records
The "derive" technique can be used for copying one record from a NOTIS file into another NOTIS file. This is most often done for name, subject or series authority records. (If bibliographic records are to be transferred in this manner, we must remember to change the holding library in 049 field to "FSLL" and to update the OCLC record which was the original source.)
