Part I. Descriptive and Subject Cataloging

General Guidelines

The Library's local automated system is NOTIS. (The acronym stands for Northwestern Online Totally Integrated System.) Check the NOTIS Users Guide or ask Cataloging Librarian if there are questions in searching or editing NOTIS records. Consult the OCLC MARC format manual or the Online bibiliographic formats and standards manual for the correct tags, indicators and subfield codes needed to edit bibliographic or authority records in NOTIS or OCLC. Search by title, author, NOTIS number or OCLC number to retrieve corresponding NOTIS record. Compare the item being cataloged with the NOTIS record. Decide whether the item should be cataloged as serial or monograph. If LC catalogs it as serial, we follow LC practice. Some words on title (i.e., yearbook or ; annual, and sometimes directory) or from preliminaries may be helpful to determine whether it is going to be published continuously or not. Catalog PLI, ALI-ABA and Florida Bar course materials as serials if the library has 5 consecutive editions with no change in the title proper. Previous eds. once cataloged as monograph will need to be recataloged. Check title proper, publication and physical description area between the book and the NOTIS record. Search OCLC if corresponding NOTIS record doesn't match the book, or a different decision on cataloging the item as serial or monograph has been made. Print the OCLC record if a better record is found and give the item with p.o. to the Senior LTA or graduate assistant who is responsible for merging records. Otherwise, consult Cataloging Librarian or put the item on the OCLC record shelf. Before cataloging the item, check whether there is any previous edition (PED) or later edition ( LED) which has already been cataloged or is in process. Catalog other ed(s). from the backlog at the same time except microfiche ed(s).

Descriptive Cataloging

  1. Follow AACR2 . Read AACR2 chapters 1 and 2 for cataloging books. Consult AACR2 chs. 3-12 for cataloging other kinds of materials. Follow the Library of Congress Rule Interpretations (LCRI ), but with these local practices and exceptions:
  2. Don't follow AACR2 ch. 11 for cataloging microform reproductions. Read LCRI ch. 11 for instructions.
  3. An additional code in the fixed field elements area for "accompanying computer disk" might be needed if not present in the bibliographic record. To add this code to the fixed field, go to empty line at the bottom of the record. Next, type 006m, then "same". You will see 006m at bottom of fixed area. Move cursor to line with DF/TYP, type "d". Hit enter twice!
  4. Delete all 035 fields except for the 035 source field containing the OCLC number. Delete any 082 or 092 (Dewey call number) fields which may be in the record.
  5. Note about 043 tag in bib record. The 043 tag is the geographic area codes which specifies the geographic subdivisions of a given subject heading. These codes are occasionally incorrect. This may require deleting some characters from the line. Please consult with Catalog Librarian for further explanation.
  6. In the 049 field, type your initials in brackets after the"FSLL".

See Appendix 2 for guidelines on editing "FSLL." Always check with Ref. Librarian, Acq. Librarian or Cataloging Librarian when there are questions on whether the item should go to reference, "office" collection, etc. Location of previous ed(s). also helps to decide whether the book goes to regular shelf or not. (Note that if a serial goes to Reference, we give the location as "law", but add a user message, um=LATEST EDITION IN REFERENCE.) American publications published before 1850 and British publications published before 1800 go to SpC collection. Check with Cataloging Librarian if unsure. We put one or all copies of FSU College of Law, its subordinate institutions, or its faculty and staff's publications in "Archives" collection. Add a "local" note on the bibliographic record indicating that a specific chapter was written by our faculty member, and make an added entry under his/her name.

For U.S. government documents, check the GPO Item number which is penciled at the bottom right cover of the volume. This number (e.g., 516-C) should also be input in the 074 field on the NOTIS bibl record; our Serials/Documents librarian finds this helpful, because it is an indexed field.

Delete some types of uniform title (tag 240) fields. See Forms of Entry for details.

Place of publication (tag 260): do not include street, city/state and zip code of publisher which LC sometimes shows in parentheses.

In 300 field, if book is described as "loose-leaf", we use LC's Cataloging Rules for the Description of Looseleaf Publications, written by Adele Hallam, for guidance on handling changes in title, authors, edition statements, # of volumes, etc. Note that these special cataloging rules apply only to works that are looseleaf-for-updating, which does not include many government documents and most continuing education titles issued as loose pages or in ring binders. Check with the Cataloging Librarian if unsure. Information for "accompanying computer disk" needs to be entered in subfield "e" of 300 tag. Example; 300:: 22 p. ; |c 28 cm. + |e 1 computer disk (3 1/2 in.)

Series statements (tag 440 or 490): do not include International Standard Serial Numbers (ISSNs) in this field. If the book is a reprint edition and the series title appeared in the original edition, then do not record the series in a 4xx field. Record it in the "reprint" note, e.g., 500::Reprint. Originally published: New Haven, Conn. : Yale University Press, 1942 (Powell lectures on philosophy at Indiana University ; 6th ser.) and make an 830-tagged added entry for series title, as appropriate.

Add a 538 system details note when there is an accompanying computer disk with book. This note explains what is required to run program. Example: 538:: System requirements: IBM compatible disk; 3 1/2 inch floppy disk; Word 6.0.

Add notes to the bibliographic record such as "Kept up-to-date by pocket parts" or "Kept up-to-date by cumulative supplements" only if it is known that the publisher is likely to issue such pocket parts, replacement volumes or supplements. Look for this information in the book's preface, or check to see if PEDs were so updated. (Do not base your decision solely on the fact that the inside back cover has a slit for pocket parts.) The tag to use for this note is 525.

For the bibliographic record of special subject "pamphlets" which are issued as part of some looseleaf service subscriptions, use note area (not the series statement) to record their relationship, e.g. 500:: Issued as "Extra edition issue" no. 409 of: Labor law reports, employment practices, no. 422 (Aug. 5, 1991). Also don't make an added entry for those looseleaf titles.

Add citation title for new law reviews, reporters, state statutes, admin.codes, if appropriate. Use the 246 field for the added entry and to generate a note. For example:246:1 : $i Cited as: Emory L.J. and or 246:1 :$i Cited as: Tenn. Code Ann.

Add 504-tagged note "Includes bibliographical references" or "Includes bibliographical references and index," as appropriate. Include the specific page numbers in parentheses if the bibliography or footnotes appear in a single sequence of pages. NOTE: Citations to statute law or to legal case reports are not considered to be bibliographical references; look instead for references to treatises and/or to periodical articles.

Contents notes. For multivolume, monographic sets where each volume has a distinctive title, always add a 505-tagged note listing the individual titles. (Use judgment, however; the volume titles for a 3-v. index might be A-G, H-Q, R-Z, and those kind of contents are hardly useful information!) For single volume works consisting of a collection of essays/articles by different authors, if the LC or OCLC copy has a 505 Contents note listing every chapter and author, keep the note. However, if such a note is lacking, do not add one.

Add special notes relevant only to the Law Library in fields with a 590 tag. For example: Library's copy is autographed presentation copy. Includes a chapter, Water regulations and policies, co- authored by Donna R. Christie. Library's copy defective: lacks p. 17-18.

Another type of local note is needed when two or more works that were originally published separately (i.e., each has a separate title page, often with different publisher and publication year) had been bound together by a previous owner of the works. In this case, the book is classified according to the subject of the first title in it, but each title is cataloged on a separate record, and all of these records should have a 590 note naming the other works with which it is bound, e.g., Bound with: A General precedent for wills / G. Worthington ; Two discourses delivered at the Middle Temple Hall / George Long ; On legislative expression / George Coode.

Read AACR2 and LCRI ch. 21 for rules regarding the choice of main and added entries. Cataloging Legal Literature also has a chapter giving clarification and more examples in applying AACR2 for cataloging legal materials.

Use 856 tag for materials which have a World Wide Web, Internet addresses. For further information and explanation, see the Catalog Librarian.




Forms of Entry: Authority Work

Use CLARR to check for the presence of authority records in LTFL that correspond to the headings on your record. If no authority record is found, search LTLC or OCLC, then derive or export. Use only LC authority record established based on AACR2 or its compatible (Rules: a or Rules: d in the fixed field). Check heading use codes ("a" "b" "c") and update them if needed, according to the following values

If a series authority record was input to the local file by Strozier Library, check the 645 fields to be sure that the Law Library tracing decision is present; if not, edit the record by adding the appropriate 645 field. If we don't have this authority record in local file, derive the LC authority record into our local authority file following the procedure detailed in Appendix 6. Sometimes, LC makes duplicate records for same author.

If no LC authority record has been established, search the NOTIS bibliographic records to see what form has been used. Consult AACR2 chs. 22-26. Make a photocopy of title page plus any other pages giving information on the personal or corporate name and give to Catalog Librarian for NACO work. On the photocopy of title page please highlight (names- personal or corporate, or both), write OCLC# on title page photocopy and the heading use codes. You should always create an original LCSH if there is no LC authority record because our tracing decision needs to be recorded. Use the online "original" authority work form to record information for the new authority record. If an original authority record has been made and a LC authority record is found later, add the LC 010 field to the "original" record, then export the LC record from OCLC, and execute oni transfer using a "merg" setting. If there are existing records in NOTIS which have an incorrect name or series entry, these will need to be revised. Apply these guidelines:

Make notes for "Strozier corrections" if there are "FS" bibliographic records that have form of name/series in incorrect form.

Uniform title: assign uniform title (240 field) for classical works and statutes, legal codes, constitutions, etc. in accordance with AACR2 and LCRI ch. 25. Do not use uniform titles for modern treatises that are translations or were previously published under a slightly different title.

Subject Analysis: Subject Headings

Determine the principal subject(s) of the book. To do this, check the book's table of contents and read the publisher's blurb on the dust jacket, if there is one. It may be necessary to also scan through the preface or introduction, looking for the author's or editor's own description of the scope of the book. If still in doubt as to the major topic of the book, ask the Cataloging Librarian for assistance. Use Library of Congress Subject Headings (LCSH) only. Delete all non- LC subject headings (just keep those at 6xx with 2nd indicator "0"). Consult LC's Subject Cataloging Manual for application of LCSH. Always check the subject headings of PED or LED. We usually assign same subject heading(s) to all eds.unless there are extensive changes in the scope of content among eds. Sometimes PED's or LED's subject heading(s) needed to be updated. Check LCSH through OCLC online authority record file or the NOTIS "LTLC" database to verify form of subject heading(s). Derive the subject authority record from the LTLC to the LTFL database (see Appendix 6), if it is not already present in the local file Revise subject headings on existing FL bibliographic records, if necessary. (Apply the same guidelines as given above for corrections to name/series forms.) - Make notes for "Strozier corrections," if necessary.

Subject Analysis: Call Numbers

Assign LC class numbers to book collection. Always consult LC class schedules. Local practice exceptions are:

  1. Municipal ordinances for Florida cities are classed at KFF431.5, rather than in KFX.
  2. County codes for Florida counties are classed at KFF432.A3, rather than at KFF599.
  3. All ALI restatements are classed at KF395.A2, even though the schedule shows this number as "obsolete."
  4. Do not classify subject bibliography using a "Z" class number; instead classify it with the appropriate subject.

Assign Cutter number based on the online Cutter notation table. Always search local file by class number to check whether the chosen Cutter number has been assigned before, in order to avoid different books with same call number, and also to maintain alphabetical order among the main entries for books in the same class number.

EXCEPTION: If the main entry begins with numbers or a year (e.g., "1991 Environmental liability laws), assign the Cutter number based on the first alphabetic word that follows the number/year.

Always check PED or LED's call number. We give same call number to all eds. unless there are extensive changes of content among them. Assign same cutter number for revised/new ed(s). even when the main entry has changed. Sometimes, PED or LED may need to be reclassed if a better classification (as opposed to Cutter) number is found. Print holding record of book(s) that need to be reclassed and put p.o. in the "Reclass/Recat" file. For serials which change their title, the new title uses the same call number as the old title if the vol. numbering is continuous. However, if the volumes start over at v.1, then the new title should be classified/cuttered with its own separate number, depending on the subject and main entry. Exception: if the title-change-with-continuous-voluming is in the JRNL collection, we change the Cutter-Sanborn number on the old volumes and on the NOTIS screens, to match the main entry of the new title. New or changed JRNL titles and their holdings must be added to the master copy of the List of Journals kept in the Cataloging Librarian's office. Reprints: In the call number, use year of original ed., with lower case "a" e.g. 1878a. If NOTIS records with obsolete class numbers are found, put p.o. of the call number list with possible new call number in "Reclass/Recat" file. Journals and non-print materials are not classified using the LC scheme. Instead, "in-house"notation codes are assigned as follows. (Note: these are transcribed in NOTIS bibl records with an 099 tag, for "other (local) call number schemes.For the class type codes used with these call numbers on NOTIS holding screens, see Appendix 3.)

 Part II. Holdings Records

Copy Holdings Record

Update the catalog status code (if the book being cataloged doesn't need to be checked by other catalogers), by changing the code from "a" to "h". Edit the copy status code for each CCN line (copy), according to the code values shown in Appendix 3. See Appendix 2 for sublocation code if the materials is/are not located at general collection. Delete unwanted notes from the HLDG screen after cataloging (e.g., PED; notify notes), but keep any information regarding "gift" or complimentary acquisitions. Add user messages if needed, e.g., um=LATEST EDITION ON RESERVE. For periodicals designated for the JRNL collection, add "ci:rsv" to the NOTES line; this will generate the message "Current issues on reserve" in the LUIS display.

Volume Holdings record

Create volume holdings record for monographic sets that are known to be multivolume, even if the Library has only received one volume. Follow these steps:

  1. With HLDG record displayed, type "chld" on command line. (For cop. 2, cop. 3, etc. you need to add copy number to the command, e.g., "chld 2")
  2. In the MARC Holdings record fixed-field, change E/L ? to E/L z
  3. In the blank variable-field area, type 899:: followed by the volume or other designation that matches what was written in the material being cataloged, e.g., 899::v.1-v.2 enter

For serials, make a p.o. and note what bound vols. we have; give this to the Serials/Documents Librarian.

Other Required Updates
  1. "Tape" command. After all editing of the BIBL and HLDG screens has been completed for a new title, type and enter the word "tape" at the command line. This may be done with either the BIBL or the HLDG displayed, or with a blank display if the NOTIS record number is included, e.g., LTFL tape AJB2388 enter This action will guarantee that the NOTIS record is sent to our vendor for inclusion in the next monthly List of New Books.
  2. OCLC update. Check the blue NOTIS purchase order or the white slip that accompanies the new title being cataloged. If the OCLC number is not on this slip, write it on there clearly. White slips should also have the work's title (at least the first four words) written on them. When cataloging is completed, the blue and white slips are placed in the box that is labelled "OCLC Records to be Updated." If for some reason there is no blue or white slip with the item, you will need to make one from a scratch card, or else update the OCLC record yourself. (It is important that every new title we catalog has the OCLC update done, to get our FSL symbol on the record for interlibrary loan purposes, and to incur the first-time-use charge for our use of OCLC copy.)

Part III. STATISTICS

Keep statistics of all material being cataloged. There are two different kinds of statistic sheets, one for printed materials, and one for non-print materials. Give these monthly statistics sheets to the Cataloging Librarian at the end of each month. See Appendix 4 for samples of these two forms.

Be careful to distinguish between added copies and added volumes. For example, if you are cataloging two complete copies of a three-volume set, this is counted as 1 title, 1 added copy, and 4 added volumes. When in doubt, ask the Cataloging Librarian.

Some computer titles, particularly CD-ROM or Video disks, may include installation software in addition to the program or file disks. Do not count installation software disks in the piece count.

Part IV. Physical Processing

Pencil call number on the last page of a monograph and bound vol. of a serial except those going to SpC collection. If item record won't be created for that physical vol. (i.e. individual issue of periodicals before bound, supplements to be replaced later) put call # in the upper right corner of the cover. If writing directly on the printed materials is not possible, stick a white label and write the call number on it. See Appendix 2 for adding the location code above the call # if the item is not housed in general collection. If a dust jacket comes with a book, throw away after cataloging, with the exception of jackets that have some artistic value. If in doubt about artistic value, ask the library director. Also keep jackets that are going to Archives or Special Collections (place call numbers on white label, place at bottom right corner of jacket).

If the item is not sturdy enough (i.e. brochure, pamphlet, etc.) or is loose papers, put a note on the item to instruct student assistants processing it to use an ACCO binder, Pam binder, 3-ring binder, or Pam box. An alternative is to send it to bindery, especially if the cover is badly damaged, and certain government documents received in unbound form. Give those items to Serials Librarian for "one-time-bind."

Non-print materials: Always give clear instructions to student assistant who is responsible for processing. Ask Cataloging Librarian if unsure.

Put the printed materials, except rush/notify materials, at new-books-to-be-processed shelves after fully cataloged. Give books to be housed in SpC collection directly to the Senior LTA who is responsible for processing. For multi-volume materials, if there are more than three volumes, put volumes other than the v.1 on the added volumes shelves; if there are only two or three volumes, place them all together on the new books shelves. "Rush" and "notify" materials should be placed on the Processing table after cataloging

RUSH / NOTIFY REQUESTS

These materials have a high priority in the cataloging workflow. The form for "Rush" materials is pink in color. Slips used for notify request are "yellow".

RUSH cataloging

  1. Find the item at the backlog shelves or the new book shelves based on the receipt date on online acq. record.
  2. After cataloging the book, place on processing table.

NOTIFY materials

All Notify materials (notify a specific professor or office copy for professor; notify reserve; ref) goes on processing table after cataloging.

  1. "Jobs" are to placed on processing table after cataloging is complete.
  2. Treat all new titles going to Reference as notify items; place them on processing table after cataloging.

Special Collections Materials

  1. Items that will be housed in the Special Collections room are treated differently than items going into the main collection.(Remember, as a general guideline American publications before 1850 are designated for SpC, as are British or European titles published before 1800.)
  2. Do not write the call number in the book.
  3. There should be no property stamp on the item (occasionally an item being moved from the regular collection into the Rare Book Collection will already have a property stamp applied; this can be left alone.)
  4. On the inside gutter of page 15 should be penciled in (very lightly) the words "FSU Law Library." If the book has less than 15 pages it should be written on the page following the title page verso.

PART V. Catalog Maintenance

Added Copies

The following instructions apply for adding copies 2, 3 or higher in NOTIS.

  1. Find existing record in NOTIS by using any NOTIS searchkey, i.e., by NOTIS number, OCLC number, title, etc. If more than one entry is retrieved, select the FL (Law Library) entry by keying in the line number and pressing ENTER key
  2. Compare the author/title/imprint on the screen to the author/title/imprint inside the book. They should be the same. To add "copy 2", on the holding screen, move the cursor to the line numbered 002, then change the OA code to 1L. (This presumes that the work is a single-volume book with an LC classification call number; if not, consult Appendix 3 to find the correct codes.) Move the cursor to beyond the CN code, then type the location or location/sublocation followed by a slash and the copy number with no intervening spaces, for example: 002 1L CN |a law/2 (or) 002 1L CN |a law,off/2 When adding the law/2 or additional copy statements, place call number on this line also. Example; 002 1L CN |a law/2 |b KF8700 |c .B27 1998.
  3. For each additional copy, use a separate line and follow procedure as above, remembering to use "law/3" for cop.3, "law/4" for cop.4, and so forth.
  4. When information is complete, depress ENTER key and make sure the "done" command appears at the top of the screen to the right of "LTFL." The system should respond with the message: HOLDINGS RECORD UPDATED.
    Count statistics, using the "Added Copies" section of the statistics sheet.

(NOTE: There are additional instructions for added copies which are replacements or reinstatements for items that had been previously been lost or withdrawn.)

Withdrawals: Titles

  1. Get book. (Unless instructions indicate that book is missing or already discarded).
  2. Display HLDG screen in NOTIS for the record that matches the title to be withdrawn.
  3. Change STATUS code from "h" to "x". Change class type code from "L" (or O or Y) to "Z". Type in notes area: "withdrawn month/day/year." Depress ENTER.
  4. Display the item record, and change its STATUS code to "w". Depress ENTER, (or pull barcodes from books and place in student's withdrawal box at processing workstation.)
  5. Display the BIBL record. In fixed field D/S element, change value from "D" to "S" (this will suppress the LUIS display of the withdrawn title.)
  6. Stamp book "WITHDRAWN", if you have the book, and place it in the designated spot to be collected for recycling.
  7. Count statistics. For single volume title, count one volume withdrawn and one title withdrawn. Multivolume works should be counted as one title and the number of volumes in the set, for example: a two volume title is counted as one title withdrawn and two volumes withdrawn. Record A/V withdrawals on "microforms and audiovisuals" statistics sheet. (If barcodes were taken to processing area, count only the title. Students will count the volumes.)
  8. Search OCLC by the OCLC number of the withdrawn title. Execute the "delh" command to delete holdings (i.e., remove our Library's symbol) from OCLC. Type "delh" on the command line of OCLC record and hit F10.

Unlinked Items NOTE: Occasionally an assistant from the Circulation area may ask us to "withdraw" from LUIS an unlinked item record. Most often these were created for a "professor's copy" of a book needed for reserve. If the item is truly not linked to any NOTIS record, then the item record may be deleted, rather than withdrawn, and no other editing is required.

Withdrawals: Copies

  1. If book is in hand, remove barcode from back of book and place in the Processing student assistant's box for withdrawal of item record.
  2. If book is missing retrieve NOTIS record and withdraw item record. On the item record change the status code from A to w, and press ENTER.
  3. On copy holding screen CN |a law/2 for CNN (copy control number) to be withdrawn: Change classification code to "Z". Add note "withdrawn" and date. For example: 1Z |b KF8700 |c .G632 1968
    NOTES |a withdrawn 12/23/91
  4. Stamp book "withdrawn" (if you have it in hand), and set it aside for recycling.
  5. For statistics, count as withdrawn volumes, all items in category 1b above; others will be counted by student assistants.

Replacement Titles and Replacement Copies

Title and edition are checked for accuracy against the NOTIS record. Add a note in the form "replaced mo/day/yr" to the holding screen's note field. The call number should be written in the back of the book and the book should be put on the added volume shelf or processing table for processing by the student assistant.

TITLES:

If the title being replaced had been withdrawn, change cataloging STATUS code to "h", change the class type code from "Z" to "L" (or the appropriate code), but leave the earlier withdrawal information in the HLDG screen NOTE area. Example:

Display the BIBL screen, and change the D/S value in the fixed field from "S" to "D". (This will assure that the record is indexed and displayable again in LUIS, the public catalog.)

Retrieve the corresponding record in OCLC, and add our Library's holding symbol to the record by entering "u", then send keying, F10. Count statistics as though this were a new book(s) being cataloged, but do not execute the "tape" command in NOTIS.

(If, however, the book is being replaced even before it was ever withdrawn, then only the "replaced [date]" information is needed. No revision is needed to class type codes or D/S fixed field values; no OCLC updating and no statistics are counted.)

The item record for the withdrawn volume can remain in the record,coded "w" for withdrawn, while the replacement volume gets a new, active item. Exception: If it is a single-volume monograph there cannot be two items linked to one CCN line (this prevents the circulation status from displaying in LUIS); in that case, either delete the old item record, or overlay it with the new item ID.

Replacement copies need the same editing as shown in the example above, except that no revision is needed to the BIBL screen fixed field values, and an update of the OCLC record is not required. If the copy being replaced had been withdrawn, then record the new statistic(s) as "added copies." (If, however, the copy is replaced prior to the withdrawal of the missing copy, then no statistic(s) are counted. These often have a note attached:,"Replacement for missing vol. (or copy)".) Remember.that the item record for the missing item, coded as withdrawn, can remain linked to the copy only if it is a multivolume set or serial.)

Reinstatements: Titles and Copies

TITLES

  1. On NOTIS BIBL record change fixed field D/S value to "D". ENTER.
  2. On HLDG screen change cataloging status code to "h", class type code to "L" (or Y or O, if appropriate) and add "reinstated [today's date] in Notes. (Do not delete the earlier withdrawal information.) Press ENTER.
  3. Check other editions of the same title to be sure class number still looks okay; make changes to book, BIBL and HLDG if necessary.
  4. Change item record status from "w" to "a". If item not found, apply barcode to book and create item record. Always update the item summary display if item record count is not accurate. Check summary display by typing "SUMM #". If the summary screen count is incorrect it can be corrected by entering the summary screen, i.e. hit ENTER all the way through the summ screen.
  5. Using the OCLC number found in the NOTIS record, search and display the record in OCLC. Press "u" send (F10) to update the OCLC record (this adds the FSL symbol, showing that our library owns this book.)
  6. Count statistics, treating the book as a new title, but do not execute the "tape" command in NOTIS.

COPIES

  1. On HLDG screen in NOTIS, move cursor to the CCN line with copy number corresponding to book in hand. Change class type code to "L" (or whatever is correct), and type "reinstated [today's date]" after withdrawn info in Notes area. ENTER. If withdrawn copy has already been replaced, the found copy may need a new copy number. For example:

  3. Display item record linked to this copy and change its status to "a". If no item record found, apply barcode to book and create item. Update the summary display, if needed.
  4. Count statistics, treating these as "added copies."

Location Changes

For books that need to have a location changed (for example, from "Law" to OFF, the change must be made in three places: the BIBL record, the HLDG record, and the book itself. After making the correction inside the book, cross out the existing spine label call number, and place the book on shelf labelled "Relabel."

Exception: If the instruction is to "Remove book from REF," make all the changes indicated above only if it is a monograph record. If it is instead a serial, then only the book label needs revision; in that case, make sure that the NOTE line of the HLDG record includes the note, "um=Latest edition in Reference."

Reclass Procedures

  1. Pull records from file titled Recat/Reclass, kept in technical services.
  2. Search for book on shelves. If checked out have circulation supervisor put a hold on it. Use head of cataloging Patron ID.
  3. If book cannot be found put printout in snag box. Have circulation begin a search and note this on printout.
  4. If book is found, change call number inside book and on NOTIS BIBL and HLDG screens, making any other changes deemed necessary. Place book on "Relabel" shelf in processing area.
  5. Count statistics for books recataloged or reclassed, using the space provided for this on the statistics sheet.

Corrections to Existing BIBL Records

Typographical errors or discrepancies in forms of names or subject headings may be found on some older BIBL records already existing in our NOTIS database. These are usually identified in one of two ways:

  1. Staff at Strozier Library notify us of the error or conflict, by way of a "Strozier Library Suggestions for LAW LIBRARY Corrections" record that is maintained in the LTEM online file. In many cases, Strozier has identified these by using a "conflict and error detection" report that has been supplied to FSU by the Florida Center for Library Automation (FCLA).
  2. The problem is discovered by cataloging staff while in the process of checking PEDs or verifying name/subject authorities for new works being cataloged, or discovered by public services staff while they are doing LUIS searches while they are doing LUIS searches.

For category 2 corrections, most often the cataloging staff who discovered the problem will make the needed corrections, especially if there are five or fewer entries to be corrected. In other instances (including all of the corrections suggested by Strozier Library), we will keep printouts showing what corrections are needed, and work on these in batch mode, usually about once a month. These printouts are placed in the "Catalog Maintenance" folder at the LTA's desk.

Exception: Congressional Information Service (CIS) microfiche, classed at Mif 6, have NOTIS records that do not represent our Library's cataloging. Place printouts in the file labelled "LM Corrections Needed." These are to be corrected in batch mode, as time allows. Note that in order to edit these records you must switch from the "LTFL" to the "LTLM" transaction code.

Authority Record Transfers

  1. Use the WinOni program or the "derive" technique to transfer authority records into LTFL database. Procedures for ONI transfer are detailed in Appendix 5, and the NOTIS "derive" method is described in Appendix 6.

Merging Records in NOTIS

Process record merging at least once a month.

Always make sure OCLC number on the record to be overlayed is identical to OCLC number on the new record. For provisional record, always add field 909 OCLC number. Note that leading zeros must be added, if needed, to make the OCLC number eight digits long, e.g., 909::(OCoLC)09386722. See Appendix 5 for procedures of ONI transfer.

OCLC Record Change Requests

There are two different ways for reporting corrections needed on OCLC records, one for bibliographic record corrections and another for reporting duplicate record. See Cataloging dept. webpage. Consult the Bibliographic Formats and Standards (sections 5.7-5.8) for guidelines on reporting corrections and additions to OCLC bibliographic records. (Note that if the bibliographic record is on a BOOKS format, and our Library owns the corresponding book, we may be able to correct the OCLC record directly. (See the section below, on "Enhance" functions.) It should be noted that we can now alert LC of bibliographic record(s) that need to be corrected by emailing CPSO (Cataloging Policy and Support Office). This can be done by explaining the problem in the body of the email. Next, copy and paste portion of the record, particularly the lines where problem(s) are located. You can copy from 010 tag, to 245 and the line that needs to be corrected. Then paste into email.

OCLC "Enhance" Procedures

The FSU Law Library is one of a few law libraries which has qualified for the authorization to make corrections to master OCLC monograph records. Refer to Appendix 7 for guidelines on when the Library should and should not execute an "enhance" operations. Call up the record to be enhanced. Lock the record by typing "LOCK" and press F10 or F11. Edit the record. Save the record. Record the save file number on OCLC p.o. Give book and p.o. to Cataloging Librarian for final checking before the "replace" command is given.

Corrections for Strozier Library

On a regular basis, the errors and discrepancies which we have noted on Strozier bibliographic records should be input and sent to Strozier via a special record in the LTTF online file. To pull up the correct screen, remove the "ltfl" from the top of the screen and replace it with "ltem" and then type "fi jt strozier" (or "fi aaa0835"); hit ENTER. Here's what the screen looks like:

Add today's date and type in the text of the incorrect (old) heading and of the corrected (new) heading, along with the NOTIS record number(s) for the entries that require the correction.

Staff at Strozier Library will regularly retrieve this record, and, once they have made a printout from which to initiate their verifications and corrections, they will delete the texts from the fields, but will leave the labels (Old Heading, New Heading, NOTIS keys) in place, ready for the next communication.

Appendix 1. GLOSSARY

ACR2
Anglo-American Cataloguing Rules. Contains the rules currently used for descriptive cataloging.
Accession
Number The number given to a title in the order of its acquisition. Used on materials not classified using theLCscheme.This includes: microfiche, audiotapes, videotapes, microfilm and computer disks.
Added Entry
On bibliographical records, an entry additional to the main entry. It might be co-authors, editors, corporate bodies, etc.
ALI
American Law Institute. This organization issuesthe"restatement of the law" series; these are all classedin our Library at: KF395.A2 (decision by reference librarians).
ALI-ABA
Acronym of the American Law Institute-American Bar Association Committee on Continuing Professional Education. The Library receives all of its continuing-education materials on standing order.
Authority File
A collection of authority records, such as the group of online records in a national file (e.g. OCLC) or in a local authority file (NOTIS). Authority files are also available in microfiche and in CD-ROM form.
Authority Record
Record established by the Library of Congress or by the local cataloging agency indicating the correct form of names, subjects, and series to be used in cataloging, as well as the cross-references for variant forms or related headings.
Authority Work
The process of 1) verifying forms of names, subjects series and uniform titles in the authority file and of 2) maintaining the authority file, including: transferring authority records from OCLC to NOTIS, updating existing authority records there is no LC established authority rec
Call Number
Refers to the entire number, typed on a label on the book and found in the catalog record, under which the book is arranged on the shelf. It may include location, class number, Cutter number(s), year, volume and copy number. Example: LAW KF 1250 Z9 C37 1983 v.1 cop.2
Class Number
Appendix 5 indicates the subject of the book. In the example above "KF 1250 .Z9" is the class number.
Cutter Number
The symbols (a combination of letters and numbers) used to distinguish books with the same class number. Books can have either one or two Cutter numbers, the first being an expansion of the class number (taken from Form Division tables, or an instruction "By subject, A-Z"), and the second type being a Cutter assigned for main entry (often called "author Cutter" or "book number"). The term is named for Charles Cutter, who developed thesystem.
DLC
The holding library symbol used for Library of Congress records in the OCLC database.
Dummy
1)A `fake' item record created for faculty office copies of serials/sets having more than four volumes, for the purpose of generating a LUIS display to show that `entire holdings' are charged out. 2) A `fake' book, sometimes created for certain JRNL titles, to show that a serial has changed its title and to direct the patron to its new location.
Export
The process of transferring an OCLC record from the online system to a floppy or hard disk, in preparation for ONI transfers to NOTIS. (In old OCLC, prior to implementation of the PRISM software, this process was call "Save Screen").
FCLA
Florida Center for Library Automation. FCLA offers support for our on-line system - NOTIS. This includes testing, installing, writing and trouble-shooting of computer programs in NOTIS
FL
Abbreviation used in NOTIS to identify the FSU Law Library as the owner of a particular book. "LM" materials are also at the Law Library, but "FS" refers to FSU's Strozier Library an its branches.
FSL
Abbreviation used in OCLC and on authority records exported from OCLC to NOTIS to indicate the holding library. FSL is Florida State University Law Library. (FDA is the symbol used for Strozier Library.
LC
Library of Congress
LCRI
Library of Congress RuleInterpretations. Source used to supplement the cataloging
LCSH
Library of Congress subject headings. These are the subject headings established by the Library of Congress for use in cataloging.
LED
An abbreviation used by Law Library staff to stand for "later edition."
LTFL, LTLC, LTLM
Transaction codes to be used on NOTIS command lines in front of the search string, designate which database (i.e., processing unit) is to be searched. is used for almost all searching and editing of Law Library records. is where one finds the LC authority records for all subject headings and some name/series headings. The file contains catalog records for Congressional Information Service microfiche (Mif 6). And is a "training file," and LTEM is used for reporting Strozier corrections.
LUIS
This is an acronym of the SUS libraries' online public access catalog - Library Use Information Service
Main Entry
The primary access point of a cataloging record. It can be a personal author, corporate body or title entry. See AACR2 chapter 21.1 for details on deciding a main entry
MARC MAchine Readable Cataloging
A system of formats utilizing numeric and alphabetic values, tags, indicators, and subfield codes for the purpose of computer-based sorting, indexing, retrieval and display of bibliographic (catalog) records. The American standards formats are called
Merge
A process which includes copying an OCLC bibliographic or authority record to a floppy disk, download it to NOTIS and "overlay" an existent NOTIS bibliographic or authority record.
Monograph
A non-serial item (i.e., an item either complete in one part or complete, or intended to be completed, in a finite number of separate parts).
NERDC
Acronym of North East Regional Data Center. The computer center located in Gainesville which processes all NOTIS communication for the State University System libraries.
NOTIS
Acronym of Northwestern Online Totally Integrated System. An integrated library automation system used in State University System of Florida libraries.
OCLC
Initialism which stands for Online Computer Library Center. bibliographic utility offers computer-based bibliographic services to the FSU Law Library, e.g., authority and bibliographic records searching and exporting for acquisitions and cataloging purposes. The Law Library also uses OCLC's interlibrary loan subsystem.
One-time Bind
For monographs or complete sets that need to be bound or re-bound, we attach a note saying "One-time bind." This helps the serials control staff to understand that there will be no future volumes in this set for which they need to keep records about binding and lettering colors, as they do with journals and other serials.
ONI
It stands for OCLC-NOTIS Interface. A program written by FCLA which enables libraries to transfer OCLC records to the local NOTIS system.
PED
An abbreviation by the Law Library staff that stands for a "previous edition"
PLI
Initialism of the Practising Law Institute. (Note the spelling of "Practising. "The Library receives all of its continuing-education program materials on standing order.
P.O.
When used in Cataloging, this abbreviation means "printout." It can also be used for "purchase order", an Acquisitions term.
Serial
A publication in any medium issued in successive parts bearing numeric or chronological designations and intended to be continued indefinitely.
Staff Mode
The NOTIS (technical) view of records, as opposed to the LUIS (public) display. Staff mode usually employs logon operator ID's that carry authorizations to edit records or subrecords. Also called "tech mode."
Storage
Shelving section on the Library's first floor labeled "storage" contains certain types of outdated volumes, removed in order to leave room for current collection. For more information, consult the Cataloging Librarian's copy of written storage/retention policies.
SUS
State University System (i.e., all of the public universities in Florida)
Tech mode
See "Staff mode"
Technical Services
The area of library operations that includes acquisitions of materials, organization and bibliographic control of materials (i.e., Cataloging), physical processing, and collection maintenance (e.g., serials control).
Tracing/traced
Access points of an item which can be searched and identified in library's catalog.
User Message
A note, often related to the physical location of a title, recorded at the note area of a holding screen for display in the public catalog, LUIS. Type as "um=[message]".

Appendix 5

ONI TRANSFER Using WinOni

  1. In OCLC, key the "xpo" command to export the bibliographic or authority record which you have selected. Then "send" using F10.
  2. (The default filename for exported records is "export.dat" -If you wish to change this, go to "Settings" in the pull down menu under "Session" on the OCLC Passport toolbar. You would also go here if you want to create different files for different types of ONI processing.)
  3. Repeat the "xpo" command until all desired OCLC records have been exported. Logoff the OCLC session.
  4. You do not need to "loged on" to NOTIS/HostExplorer for WinOni transfer to function. You do not have to have an active session of NOTIS/HostExplorer going.
  5. Got to your desktop and click on WinOni.
  6. In the dialog box which appears, verify that the correct filename appears in "input file" box and that the "type of processing (for example, merg, ipcl,, etc) is correct. Revise these if necessary. Then click on "okay."
  7. Keep your eye on the screen to see how many records are processed. The number should match the number of records which you have exported from OCLC.
  8. As soon as the program responds that the transfer is complete, click on "yes" to delete the contents of the file. (However, if you stop the processing while bytes are still being transferred, but you still get the message saying that processing was completed...do not delete the contents of the file until you have ascertained that the records have indeed been loaded into NOTIS.




Appendix 6

"DERIVE" Method for Transferring Records

The "derive" technique can be used for copying one record from a NOTIS file into another NOTIS file. This is most often done for name, subject or series authority records. (If bibliographic records are to be transferred in this manner, we must remember to change the holding library in 049 field to "FSLL" and to update the OCLC record which was the original source.)

  1. Search for the auth record in the source database, e.g., LTLC fi fs ex mental patients
  2. Choose the correct record from the resulting index, and display it. (In this example, it will be MAR3509, "Ex-mental patients.")
  3. With the auth record display, depress the Clear key. The command line will now have LTLC auth MAR3509 (or whatever the record number is)
  4. Change the transaction code to "LTFL" and add a comma and "lc" directly after the NOTIS record number. This tells the system that you want to enter the FSL Law database, but you want to search for a record from the LC file. Example:LTFL auth MAR3509,lc
  5. This time when the record is displayed, type "deri" on the command line.
  6. The record will be re-displayed with FL number at the beginning of the fixed field and all record numbers removed. You now have the opportunity to edit the record (which is rarely done, at least for subject authorities).
  7. Depress enter until you get the response,"AUTH MBZ4155 CREATED" (or whatever the new number is)
  8. Remember to check heading use codes to be sure that they are correct; and if it is a series record being "derived" from another SUS database, you need to add our library's 645 field.




Appendix 7

Guidelines for OCLC "ENHANCE" operations

I. Records that FSU-Law can "ENHANCE":

  1. Books Format (Bib lvl: m)
  2. Member-Input records (we cannot make changes to national level records--DLC, NLM, UKM)
  3. Full-level standard records (Enc lvl: I). Corrections to minimal-level records are made using a different technique.

II. Do not execute "ENHANCE" for:

  1. Records for books we do not own.
  2. Subject headings and call numbers that are a matter of differences in judgment (rather than typographical or other obvious errors.) However, do add a Library of Congress classification number, if the records does not already have one.

III. Do execute "ENHANCE" for:

  1. Filing Indicator errors
  2. "Dates" errors in fixed field
  3. Form-of-name that doesn't match LC's authority record form
  4. Tags or indicators on name headings that are incorrect (example, 710 vs. 711)
  5. 5. Standard numbers, if readily available, may be added (i.e.,010, 020, 086 fields)
  6. Series tag changes to match LC practice
  7. Microform 007 field to be added.

8. Other changes to bibliographic description and access points in accordance to AACR2 and OCLC's Bibliographic Input Standards, level I.
